Book the Hall

Rental Fees

All payments are due at the time of booking to hold your date. This includes a refundable facility deposit of $200 + cost of rental + any additional items that you indicate at the time of booking.

If your event is cancelled 6 weeks prior to the event, your payment will be returned to you.

Following your event, the deposit will be returned to you if there is no damage; nothing missing; if the hall is left clean, tidy and the furniture left in the same location as you found it. See attached diagram.

Costs

Main Hall and Kitchen $600 for the day.
Main Hall and Kitchen $300 for half day.
Main Hall and Kitchen $1,200 for 3 full days.

All rentals include wifi, tables, chairs, dishwasher, oven, microwave, coffee urns, kettles, pots, dishes & cutlery. Please note; wifi service is not guaranteed, as it is dependent upon the provider.

Bartenders

Bartenders are Smart Serve qualified board representatives.

Renters pay bartenders $20/hour each. A minimum of 2 bartenders are required. Both bartender’s service will commence 30 minutes prior to the bar opening and will extend 1 hour after the bar closes to ensure the bar is cleaned; all the liquor has been removed from the hall and off the premises within 45 minutes after closing.

*The Tyrone Community Centre will assign smart serve qualified bartenders.

Clean Up and Damage Security Deposit Requirements for Refund

• All garbage, dishes, etc removed from tables.
• Tables washed
• Tables and chairs packed away as they were when you arrived. See attached diagram
• Kitchen, dishes & utensils, etc cleaned and returned to original location
• All garbage removed to the waste bin located in the parking lot.
• All doors are checked and make sure they are locked before leaving.
• No damage to floors, walls, decor, kitchen, bar, doors, door jams, furniture or contents. Your deposit will be held if any damage is caused by adhesives.
• Please respect our photos. No tape or decorations are to be attached.
• If you need to cancel your event and do not give 6 weeks notice, your deposit will not be returned.
• Candles are not permitted. Flameless decorations only.
• If keys are lost/Stolen you will be held responsible for the full cost of rekeying the community centre.
• Henna and confetti are not permitted.
• If you are renting from a rental company (Tim’s rentals etc), all rentals must be picked up after your event. If not, your deposit will be kept.

Important Reminders For Bar:

• Bring YOUR liquor license and event insurance. Please name the Municipality of Clarington AND The Tyrone Community Centre Board of Directors as additional insured on your policy. The bar cannot open if these documents are not posted in the bar.
• The person that signs as being responsible for the liquor license will not be served liquor.
• Bring a cash float and tickets for your cash bar. If you decide to have one.
• Supply your own liquor, wine, beer, ice, mix, & plastic glasses for drinks served from the bar. No glass containers will be served (ie, beer bottles). Drinks in glass bottles will be served in plastic cups. Cans may be served.
• Chill your beer and stock the bar fridge on the day of your event. The bar may only be stocked on the day of the event. Once stocked, the bar is to be locked until the smart serve qualified opens the bar, in accordance with the liquor permit.
• Jell-O Shots are not permitted, unless they are served from the bar.
• The bartenders will comply with all legislation and will not serve anyone to the point of intoxication. And will notify the person who signed the SOP.
• Bartenders reserve the right to close the bar at any time should they determine that circumstances are becoming unsafe or unmanageable.

Alcohol Risk Management Policy

This policy is designed to prevent alcohol related problems and to ensure that those using our venue get maximum enjoyment from it. By reducing potential alcohol related problems we can reduce the risk of liability actions.

Anyone wishing to serve alcohol must complete the agreement form outlining the conditions under which alcohol may be served. The responsible person must obtain a Special Occasion Permit from the Alcohol and Gaming Commission of Ontario (AGCO). The permit holder must ensure all conditions of the Liquor License Act, Municipal By-Laws and Policies and Procedures are adhered to at the event. The Board reserves the right to refuse an applicant permission to run a licensed event.

Special Occasion Permit Holders must adhere to the following:

• The Special Occasion Permit must be posted in the Bar Area.
• Anyone working the bar must be smart serve qualified and be approved by the Hall Board.
• Unexpired ID: Age of majority card, photo drivers license or current passport are acceptable.
• Identification should be checked for anyone who appears under 25 years of age. No one will be served to the point of intoxication.
• Alcohol will not be served to underage, intoxicated, rowdy or unauthorized people at the event.
• Servers will not consume alcohol during the event.
• Alcohol may only be consumed in the area specified on your liquor license.
• A limit of two drinks per individual may be supplied at one time.
• No alcohol will be served after 1:00 am.
• Food must be offered when alcohol is being served.
• No announcement of ‘Last Call’ is permitted.
• The permit holder will be responsible for the safety and sobriety of people attending and will encourage legal and moderate drinking behaviour.
• It is the permit holder’s responsibility to ensure all requirements of the Liquor License Act, and Alcohol and Gaming Commission of Ontario are met, and are in accordance with your Special Occasion Permit.
• Outside Alcohol is strictly prohibited, including in the parking lot and any alcohol brought from off-site. Any individual found in violation of this policy will be required to leave the premises.

Sale of Alcohol

• A limit of five tickets per person may be purchased at any one time.
• Discounts will not be offered on the purchase of tickets.
• Refunds must be offered on unused tickets purchased.
• A sign will be posted at the bar and ticket counter stating the Law on serving to intoxication, as well as the poster dealing with pregnancy and alcohol consumption. And WILL NOT BE TAKEN DOWN BY RENTER

Safe Transportation

• The permit holder shall be responsible for promotion of at least one of the following safe transportation options of all participants:
• A designated driver selected from non drinking participants.
• A designated driver provided by the sponsoring group.
• A taxi paid for by the permit holder, sponsoring group or participant.
• Signage for alternate transportation including taxi, car jockey, Keys to Us etc.

Insurance and Liability:

The permit holder shall provide confirmation of liability insurance coverage including alcohol liability coverage. The permit holder agrees to indemnify and hold harmless the Tyrone Community Centre Board of Directors, its members, and the Municipality of Clarington from any and all claims, actions, damages, liabilities or proceeding arising from or related to the use of the facility and premises, including but not limited to matters connected with the service of alcohol.

Smoking By-Laws

The renter is responsible for communicating smoking by-laws to your guests. Smoking and vaping are prohibited within nine metres of all public entrances/exits and within 20 metres of all public park properties in Durham Region.
